Education ERP in Saudi Arabia

Education institutions carry heavy administration around fees, cohorts and staff. Putting it in one system removes most of the duplicate record keeping.

  • Fewer collection gaps
  • One student record
  • Less duplicate admin
  • Programme-level profitability
Education ERP in Saudi Arabia

What we hear before a rollout

The same four problems come up in almost every conversation in this sector.

Fees are chased from spreadsheets

Instalments and part payments are tracked outside the ledger, so balances disagree.

The same data is entered three times

Admissions, academics and finance each keep their own copy of the student.

Staff document expiry is missed

Contracts, visas and licences lapse before anyone is alerted.

Nobody knows which programmes pay

Revenue is tracked by term, not by cohort or programme.

How ERP supports education

Admissions

Enquiry through enrolment with documents and approvals.

Enquiry through enrolment with documents and approvals attached to the applicant record.

Fee collection

Structures, instalments, discounts and receivables follow-up.

Fee structures, instalments and discounts tracked per student against the same balance finance sees.

Academic records

Timetables, attendance and assessment history.

Timetables, attendance and assessment come from one record used by reporting as well.

Staff management

Contracts, attendance, leave and payroll.

Contracts, attendance, leave and payroll for teaching and support staff in one place.

Communication

Statements, notices and reminders from the same records.

Statements and reminders go out from the live balance rather than a exported list.

Programme reporting

Revenue and cost by programme and cohort.

Revenue and cost reportable by programme, cohort and intake.

Where most rollouts start

A first phase usually covers these four, then grows once the team is comfortable.

How we implement it

Education ERP in practice: fees, staff and the academic side

Schools, training institutes and universities in the Kingdom run an academic operation and a business, and the business side, admissions, fees, staff payroll, procurement and facilities, is where spreadsheets fail first. The platform decision turns on whether academic records must live in the ERP: ERPNext has a native Education module for admissions, programmes, fees, attendance and assessment with no per-user licence for teachers; Odoo and Zoho run the business side and integrate with the learning platform.

Fees are configured with instalments, sibling discounts, the applicable VAT treatment, receipts and arrears follow-up before term end, and parents pay through a bilingual portal. Staff payroll runs from attendance with GOSI and WPS, and licence and iqama expiry is tracked. Admissions run as a pipeline from enquiry to enrolment with WhatsApp follow-up.

Go-live is planned for a term boundary with students, fee balances and staff migrated beforehand. Reporting covers enrolment by programme, collections and arrears, cost per cohort and Saudization ratios.
